Best Tricks to Add Multiple Email and Microsoft Accounts to Outlook & Smartphones

If ever you use Outlook.com, which was formerly Hotmail, for sending and receiving emails, it’s important that you secure your account properly. After all, your email account is the gateway to all of your online activities.

Furthermore, you will want to secure your account to prevent fraud and having your account hacked. You should never let that happen, especially when planning to add multiple email and Microsoft accounts to your smartphone and Outlook account.

Fortunately, there are effective tricks to keep your emails secure without having to go through a ton of effort. Read on to learn about the tricks to help make life easier.

  1. Switch Between Your Outlook Accounts

    After adding multiple accounts to your Outlook account, you can start switching between the accounts on Outlook. You’ll be moving between various email inboxes in one account for your convenience. Follow these steps to do so:
    • Go to your Outlook account’s sidebar
    • Choose the email address of the email inbox you’d like to view
    • Outlook will automatically nest names for other accounts under your first email address added to your Outlook account.

  2. Switch Between Outlook Profiles

    You don’t only get to toggle between inboxes from various accounts in one Outlook account. You can switch between profiles as well. Here are the steps to follow:
    • In your Outlook account, select ‘File’
    • Select ‘Account Settings’, then ‘Change Profile’
    • Select Outlook then open it again.
    • When you see Outlook reopen, you can now select any one of the profiles from its drop-down list in the pop-up dialog list.
    • You may also set default email accounts through the dialog box by selecting your default profile under ‘Options’.

  3. Accessing Multiple Outlook Accounts on Smartphones

    There are mobile apps available for Outlook on Android and iOS devices. Take note, mobile apps on smartphones would have fewer functions compared to the desktop version of Outlook or the website app.

    This is not really a trick, but to help you know what to expect as you access and manage your Outlook accounts on smartphones. So, if you have done GAL sync iPhone, some functions may still be limited.

    Some of the limits are:
    • You can’t rename folders or view any favorite folders
    • You can’t report emails as junk
    • You’re unable to empty the spam folder

      This is why it may be better to use your desktop or web app if you need to perform any of these features.

  4. Using PINs to Login to Your Windows Account

    When you use a Microsoft account when signing in to Windows, your email password for Outlook will be the same as the PC login password as well. However, this may pose significant security risks, which is why it’s best to do another method to lock your PC.

    Windows has a picture lock and PIN option on all devices, along with a face or fingerprint lock on any Windows-Hello compatible device.

    When you would like to use another security method, go to Settings – Accounts – Sign-in options, then click Add under whatever method you would like to use.

    PINs would have a balance of convenience and security. Because PINs would be local to one device, anyone who stole your password can’t log in to your email account.

  5. Review Your Activity

    Just like many online accounts, you will be able to review your Outlook account history as needed. That way, you can see if any unauthorized individual accessed your account and any of your emails.

    You can review your account history by visiting the Microsoft account’s security page, then click on ‘Review Activity’. You will then be able to see their recent sign-ins and identify any suspicious activity. Further, expand the entry and you’ll see what browser and platform the sign-in was from, as well as whether it was a successful sign-in or not.

    If ever there’s suspicious activity, then select ‘Secure Your Account’ under the map, so you can rectify it.

  6. Check the Trusted Accounts

    You should also consider checking the trusted devices and make sure that your account isn’t connected to suspicious devices, along with any old PCs or phones.

    View your list of Trusted Devices by checking your account’s Devices page.

    If ever you have had Two-Factor Authentication (2FA) back then, it’s best to clear out the list of passwords. Go to Security, then ‘more security options’. Go to App Passwords, then select ‘Remove Existing App Passwords’, then choose Remove.

    You will then be able to sign out from devices without 2 Factor Authentication. Then, you can select on ‘Remove all the trusted devices associated with my account’ and force 2 Factor Authentication on your devices.

When working with more than one email and/or Microsoft account, you should invest in an app where you can stay organized. Outlook is the optimum choice and with security tips and tricks, you won’t have to worry about your emails and contacts being infiltrated. That way, you can reap the many benefits Outlook has to offer!
